Nutrition Urban Care LLC ("Nutrition Urban Care," "we," "us") provides virtual nutrition, wellness and weight-loss coaching across the United States. This policy explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
- Information you give us: name, email address, phone number, mailing address, billing details, and — when you choose to share them for coaching purposes — health information such as medical history, lab results, medications, body measurements, dietary habits and wellness goals.
- Information collected automatically: IP address, browser type, device information, pages visited, and referring URLs.
- Communication records: emails, form submissions, session notes created by your dietitian, and support messages.
2. How We Use Your Information
- To design, deliver and personalize your nutrition and coaching programs.
- To respond to inquiries, confirm bookings, and provide customer support.
- To process payments through our PCI-compliant payment processor (we never store full card numbers on our servers).
- To send transactional emails and — only with your consent — our marketing newsletter ("The Weekly Plate").
- To improve our website, services, and security.
- To comply with legal obligations.
3. Sensitive Health Information
Health and wellness data you share for coaching is classified as sensitive. We apply heightened safeguards to it: access is restricted to your assigned dietitian and essential staff; it is never sold, never used for advertising, and never shared with third parties for their own marketing. Depending on the specific services and personnel involved, our operations follow HIPAA-aligned safeguards, although nutrition coaching by itself may not always constitute HIPAA-covered treatment.
4. Cookies & Analytics
We use essential cookies to keep the site functioning and privacy-respecting analytics to understand aggregate traffic patterns. We do not run third-party advertising trackers or sell behavioral data. You can block cookies in your browser; the site will remain usable.
5. How We Share Information
- Service providers: hosting, email delivery, scheduling and payment vendors, bound by contract to process data only on our instructions.
- Your care team: your dietitian, and — with your written permission — your physician or other healthcare providers.
- Legal requirements: when compelled by law, court order, or to protect vital interests.
- Business transfers: in the event of a merger or acquisition, with notice and no reduction of the protections in this policy.
We do not sell or rent personal information — health-related or otherwise — to anyone, ever.
6. Data Retention
Active client records are retained for the duration of your program. After closure, records are retained for 7 years as required by professional record-keeping standards, then securely destroyed. Newsletter data is deleted immediately upon unsubscribe.
7. Your Rights
Depending on your state of residence (including rights under the California Consumer Privacy Act and similar state laws), you may have the right to: access the personal information we hold; correct inaccuracies; request deletion; receive a portable copy; opt out of marketing communications; and be free from discrimination for exercising these rights. 8. Security
We use TLS encryption in transit, encryption at rest for stored records, role-based access controls, and regular security reviews. No method of transmission is 100% secure, but we treat your data with the care we'd want for our own families.
9. Children's Privacy
Our services are intended for adults 18 and older. We do not knowingly collect information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it promptly.
10. Marketing Emails & Unsubscribing
Every marketing email contains a one-click unsubscribe link, and you can also use the form at unsubscribe.html. Transactional emails about your active program cannot be disabled while that program is active.
11. Changes to This Policy
We may update this policy; material changes will be announced on this page with a new effective date for at least 30 days before taking effect.
